VoVi vs Square: compare the work, then the full bill

Start with the business shape

VoVi is attractive for independent retail that needs stock, loyalty and staff functions in one included package. Square deserves the stronger position when the operation spans retail, food service or appointments and its wider platform handles those requirements more naturally. This is an editorial fit judgment, not a measured performance result.

Before comparing price, mark the tasks without which you cannot open: checkout, returns, receiving stock, employee permissions and any specialist service flow. Put preferences on a separate line. An attractive subscription cannot compensate for a missing mandatory workflow, and an unknown capability should trigger a demo rather than an assumed yes or no.

The two free-software routes are different

The US VoVi offer ties free software to its processor and merchant approval. Keeping another processor costs US$99/month per location. Square Free has no monthly software charge, while its paid tiers change both functionality and published processing. Compare the Square tier required by your actual feature list.

Software is only one line. Request hardware, setup, optional products and the applicable payment terms for both offers. With more than one store, confirm which charges repeat per location. Do not label either provider entirely free or compare a paid configuration with a free one without explaining the feature difference.

A scenario where each can cost less

Calculated example: one US location, US$20,000 monthly card-present volume, all eligible Visa/Mastercard/Discover, no hardware, setup or add-ons. At 1,000 transactions, VoVi’s 2.79% formula gives US$558; Square Free’s 2.6% + US$0.15 gives US$670. Those are processing-plus-software subtotals under the stated assumptions, not complete quotes.

Keep the volume but reduce the count to 200 transactions: VoVi remains US$558, while Square Free becomes US$550. Square is lower in that scenario. Amex, other payment channels, negotiated rates and paid features can change the outcome again. The lesson is to enter your own volume and transaction count, not to treat one sample basket as a universal winner.

Test the same retail sequence

In both systems, create the same product variant, receive stock, sell with a discount and return part of the purchase. If loyalty or commissions are requirements, follow the return into those records. Ask the vendor to identify the exact plan used.

Add a second location only if you need one, then test a stock transfer and the manager’s view. Let the intended cashier repeat the sale without coaching. Record unresolved steps and required apps. A fair comparison measures whether your sequence is complete, not how many features a presenter can show in an unrelated demonstration.

Geography and devices can settle the choice

VoVi uses an external card terminal and serves its supported-country list, with one country and currency per account. Square payment availability has its own country list and local hardware rules. Neither the US free offer nor US card rates should be exported to another market.

Check the exact printer, scanner and payment device before buying. Require a separate offline demonstration if continuity is critical. VoVi’s newer, smaller-company profile also merits a concrete support and export check; Square’s established ecosystem may be the deciding advantage for an owner who depends on existing integrations.

Choose VoVi when its included retail package passes your trial and the full cost works. Choose Square when its broader business tools, device workflow or ecosystem fit better. If both pass, compare the same operating period and preserve the quotes beside your calculation. Your requirements and actual bill should be able to overturn our editorial preference.
